The export format identifies the type of file that is being exported. The format of a file ensures that the exported files can be accessed and used by other applications. It also helps in maintaining the structure of the data during export.

The LiveVox Portal (LVP) enables you to export a file as a comma separated values (CSV) file. Using the Export Format editor, you can configure the data in a specific format. LVP uses the format that you set using the Export Format editor to export data from the Agent editor, Contact editor, and Report Writer.

Modifying a format that is in use (manually or by automated jobs) affects the appearance of the data in the CSV file. Instead, create a copy of the format to test it before using that format.

Accessing the Export Format Editor

To access the Export Format configuration window, on the Configure tab of the LiveVox Portal, click Input / Output > Export Format.

Select the editor and format you want to view/adjust, from the Editor and Format drop-down menus.

Editor Select the editor you want to use. Choose from Agent, Contact, and Report Map
Format Select the required format for the selected editor.
Format Details
  • Format Id: Displays the unique export format ID.
  • Name: Identifies the name of the export format.
  • Description: Provides a description of the export format.
  • Delimiter: Identifies the delimiter for the export format.
  • Line Break: Displays the line-break style.
  • Sort By Field: Defines how the results should be arranged in the export file.
  • Sort Order: Sets the sort results in Ascending or Descending order
  • Add Quotes To: Specifies which fields should be placed in quotes.
  • Print Header: Indicates whether a header row is included in the export file.
Column Mapping Details
  • ID: Displays the mapping ID.
  • Field: Identifies the mapped field, which represents a column in your export file.
  • Header: Identifies the header name assigned to the column.
  • Date Format: Displays the date format applied to a field if any.
  • Number Format: Displays the number format applied to a field.
  • Time Zone: Indicates the time zone, which applies on date or time fields.
  • Fixed Width Size: Indicates the fixed width size of the field if any.
  • Padding Chars: Indicates the number of padding characters if Fixed Width Size is configured.
  • Alignment: Indicates the alignment style of the column in the export file.
  • Order: Specifies the number (order) of the column in the export file.

Creating a New Export Format

  1. Click Add New Format from the bottom menu.
  2. Select the required editor from the Editor drop-down list. Choose from Agent, Contact, and Report Map.
  3. Each format is represented by a unique Format Id once it is created.
  4. Enter the Name of the format. This Name is used to refer to the export format throughout the configuration manager.
  5. Enter the Description to provide additional information about the export format.
  6. Select the desired field delimiter from the Delimiter drop-down menu.
  7. Select the line break style from the Line Break drop-down menu.
  8. Select Sort By Field from the drop-down list. This defines how the results should be arranged in the export file.
  9. Select Sort Order from the drop-down list to set the results in Ascending or Descending order.
  10. Select Add Quotes To from the drop-down list. You can use this option to specify if no fields, all fields, or only those containing the delimiter should be placed in quotes.
  11. Select the Print Header checkbox if you want to include a header row in the export file.
  12. Add the mapping to the format.

    Adding a Mapping

    To add a new mapping column in the export format:

    1. Click Add Mapping from the bottom menu. The Add Mapping window appears.
    2. Specify all the mapping details. The following options define a mapping:
      • Entity: Select the required editor from the Entity drop-down list.
      • Field: Select the required field from the drop-down list. This selected field is going to be a column in your export file.
      • Header: Displays text as Active Agent for Contact and Agent editors, and Account for Report Map.
      • Hide: Check the box if you want to hide the field.
      • Date Format: Select the date format option depending on the field you are adding. For example, if a date or time DB field is mapped, you must select a date format from the Date Format drop-down list.
      • Time Zone: Select a time zone from the drop-down list (optional).
      • Number Format: Select the number format option depending on the field you are adding. For example, if a phone DB field is mapped, you must set a number format from the Number Format drop-down list.
      • Fixed Width Size: If the column width is fixed and not delimited, you must specify values in the following fields:
        1. Fixed Width Size
        2. Padding Chars
        3. Alignment
    3. Click Ok to add a mapping.

    Updating a Mapping

    To edit or update a column mapping in the export format:

    1. Select the required editor from the Editor drop-down list.
    2. Select the required format from the Format drop-down list.
    3. Double-click on the mapped row which you want to update. The Mapping Details window opens.
    4. Update all the required fields. 
    5. Click Ok to update the mapping.
    6. Click Save Format to update the export format.

    Deleting a Mapping

    To delete a column mapping in the export format:

    1. Select the required editor from the Editor drop-down menu.
    2. Select the required format from the Format drop-down list.
    3. Select the mapped field row which you want to delete from the export format.
    4. Click Delete Mapping. The deleted mapping appears in red text.
    5. Click Save Format to update the export format. The deleted mapping disappears from the list.

  13. Click Save Format to create a new export format.

Deleting an Export Format

To delete an existing export format:

  1. Select the required editor from the Editor drop-down list.
  2. Select the required format from the Format drop-down list.
  3. Click Delete Format. A confirmation pop-up window appears.
  4. Click Yes to confirm deleting the format.
